Kids Party Booking Request

Thank you for making an enquiry into booking a birthday party at Hertfordshire Sports Village. Please complete all fields of the kids party enquiry form below, submit this to us (you will also be emailed a copy of your enquiry for your records) and we will contact you to confirm availability and book your party (subject to availability).

We will respond to all enquiries within 48 hours of receiving your completed form.

 

Terms and Conditions for Hertfordshire Sports Village Kids Party Bookings and Payment Conditions

Payment

  1. Full payment is required at the time of booking and party bookings will not be confirmed and reserved until the full cost of the party has been paid.
  2. The full cost of the party includes a £50.00 non-refundable deposit.
  3. Upon receipt of the payment for the party we will confirm the booking and send further information and receipts in the post..

    4. Cancellations

  4. Cancellations made in writing more than 14 days in advance of the date of the party will receive a refund of any money paid minus the £50.00 non-refundable deposit.
  5. No amount will be refunded if the booking is cancelled less than 14 days prior to the party date or not attended on the day for which the booking is made and confirmed.
  6. If the booking is cancelled due to illness or injury of the party child and a doctor’s note can be provided, the party can be rescheduled to a later date for no additional charge, subject to availability.
  7. In the unlikely event that the party booking has to be cancelled by Hertfordshire Sports Village, the hirer will receive a full refund of all money paid, including the £50.00 deposit.

    8. Safety and Behaviour

  8. Hertfordshire Sports Village insists that suitable clothing and footwear is worn at all times for the appropriate party booking.
  9. For climbing parties, all children must be aged 6 or over to be able to take part in the activity. A climbing disclaimer must be completed and returned by the parent/guardian before the activity can begin. Any child found to be under the age of 6 on the day of the party will be excluded from the activity.
  10. Children attending pool parties will be supervised by lifeguards in the normal way and as part of the overall lifeguarding of the pool. Parents / guardians retain responsibility for the behaviour and safety of the children at all times and we ask that they take note of and abide by the following guidelines on supervision of children within swimming pools:
  11. Children attending swimming parties under the age of 8 must be accompanied by an adult over the age of 16. The ratio of adults to children is; one adult up to 2 children between the age of 5 and 8 or one adult to 1 child under the age of 5.
  12. It is the hirer’s responsibility to ensure that the correct ratio of adults (over 16’s) are provided to ensure the party is safe to go ahead.

    13. Food / Refreshments

  13. Hertfordshire Sports Village do NOT provide food as part of the party package.
  14. The hirer may provide their own party food to be consumed on the premises.
  15. If the hirer is providing their own food a ‘party food room’ must be hired for the duration of an hour for an additional cost. This includes access 15 minutes before the children are due to eat to allow time for preparation.
  16. It is the responsibility of the hirer to ensure that the ‘party food room’ is clean and tidy and left in its original condition at the end of the booking period.
  17. Hertfordshire Sports Village will provide balloons, tables & chairs in the ‘party food room’. Additional decorations can be provided by the hirer.
  18. All other equipment; table cloths, plates, napkins, cutlery, jugs etc. must be provided by the hirer.
  19. For your own food hygiene safety, the hirer must ensure that any food brought onto Hertfordshire Sports Village premises is stored appropriately.
  20. Please Note: For food hygiene and health and safety reasons, access to kitchens and refrigeration facilities onsite is restricted to appropriately qualified staff only
  21. Parents / guardians are responsible for the supervision of the children at all times whilst the food is served and consumed.
  22. The hirer may provide their own Birthday cake; you must provide your own candles, matches/lighter and knife for cutting.
  23. Alcohol is NOT permitted on the premises.

    24. Responsibilities of Party Organisers

  24. Hertfordshire Sports Village will provide coaches (where required) for the purpose of the event. Parents / guardians must still be present for the duration of the party.
  25. Hertfordshire Sports Village also reminds hirers that the parents hosting the party are responsible for the behaviour of the children attending the booked party.
  26. For child protection reasons, photography is only permitted by those authorised to do so. This can be arranged prior to the party by showing valid photo identification and completing a photography disclaimer form.

    27. Parking

  27. All parents / guardians and children attending a party at Hertfordshire Sports Village must present the party invites on arrival at the security gates to gain entry to park at the Sports Village.
  28. Parking at weekends is free of charge, however please allow time as the car park can sometimes be busy.
