What if I miss a booking because of an emergency?
If you’ve missed a booking due to an emergency or special circumstance and received a strike, just have a chat with a member of our reception/gym team. We’ll be happy to review your situation.
How do I cancel a booking?
You can cancel your booking through the online portal or by contacting reception. Just make sure you cancel at least 2 hours before the booking starts to avoid receiving a strike.
How will I know if I’ve received a strike?
You’ll get an email letting you know. You can also check your strike status anytime by asking one of our reception/gym team.
Can I still use other facilities if I’ve been temporarily blocked from making bookings?
The strike system only affects bookings. You’re still very welcome to use the gym and pool.
Do strikes carry over month to month?
No. Strikes are counted over a rolling 30-day period. After 30 days, previous strikes will no longer be counted.
Can someone else use my booking if I can’t attend?
No. Class bookings are non-transferable and must be used by the member who made the booking.
What if I forget to swipe my key fob before my booking?
Just let a member of the reception/gym team know before or after your booking, and we’ll manually mark you as attended. If we don’t have any record of your attendance, a strike may be issued.
Can I appeal a strike?
Yes, if you feel a strike was issued in error or due to exceptional circumstances, please speak to a member of the reception/gym team who will investigate it.
How do I avoid getting a strike when I attend the booking?
To ensure your attendance is recorded, you must always swipe in using your key fob at either the main reception turnstiles or the gym desk turnstiles before your booking starts. If you do not swipe in, the system will not register you as attended, and a strike may be applied.
What happens if I’m added to a booking less than 2 hours before it starts and I can’t attend?
If you’re added to a class within 2 hours of the start time and can’t attend, please email the gym team at gymhcs@herts.ac.uk to let them know. They’ll manually update your attendance so you won’t receive a strike. We’re currently working on improvements to how the waitlist functions in the 2-hour window before a class. In the coming months, this part of the system will be updated to make the process clearer and fairer. Please bear with us while these changes are being developed.
I arrived for my booking and swiped in, but it still marked me as a no-show—why?
To be marked as attended, you must swipe in. You can swipe up to 2 hours before the booking starts and up to 10 minutes after your booking has started. If you swipe in more than 10 minutes after the booking start time your attendance will not be recorded. If you arrive over 10 minutes late to your booking you will receive a strike.
